Job Description

We are seeking an organized, discreet and service-oriented Human Resources Administrator to support the daily and monthly administration of the Human Resources Department and ensure accurate maintenance of employee records, accommodation, leave, reports and HR documentation.

The successful candidate will work closely with the Human Resources Manager to support smooth HR operations and provide professional assistance to employees and Department Heads.

Key Responsibilities

  • Provide day-to-day administrative and coordination support to the Human Resources Department.
  • Maintain accurate HR records, reports, employee files and staff databases.
  • Update employment summaries, staff records, notice boards and other HR information as required.
  • Assist with employee transfers, references, boat passes and other routine HR administration.
  • Greet and assist employees in a professional, friendly and courteous manner.
  • Maintain strict confidentiality and discretion when handling employee information and HR matters.
  • Ensure HR-related events, activities and employee communications are handled accurately and on time.
  • Follow the HR deadline schedule and ensure required reports are prepared and submitted within due dates.
  • Assist with staff engagement activities such as island cleaning, birthdays, staff parties and Employee/Supervisor of the Month activities.
  • Perform other HR duties as assigned by the Human Resources Manager.

Accommodation Administration

  • Maintain and update the employee accommodation report.
  • Record employee check-ins, departures and room movements accurately.
  • Allocate rooms for incoming employees and ensure accommodation records remain current.
  • Coordinate accommodation-related requirements with relevant departments.

Employee File Maintenance

  • Maintain employee files in an organized and accessible manner.
  • Ensure all current and essential documents are filed promptly.
  • Support periodic HR file audits and ensure documentation is complete.

Annual Leave & Travel Administration

  • Prepare annual leave payroll forms and obtain the required approvals from Department Heads and the Human Resources Manager.
  • Maintain and update the employee leave register.
  • Coordinate employee flight reservations in accordance with company policy.
  • Coordinate with the Male' Office regarding passports, tickets and related travel documentation before employees proceed on leave.
  • Maintain accurate records of leave and travel arrangements.

Reporting & Employee Support

  • Prepare and consolidate the monthly HR Report for the General Manager and CEO within the required reporting timeline.
  • Keep the Human Resources Manager informed of employee issues, incidents and operational matters.
  • Assist Department Heads and employees with general HR-related enquiries.
  • Support emergency employee matters when required.
  • Participate in disciplinary or general employee meetings when requested and assist with translation where necessary.

Qualifications & Experience

  • GCE O' Level / completed secondary education.
  • Minimum 1 year of office administration and computer experience.
  • Previous Human Resources administration experience in a hotel or resort environment would be an advantage.
  • Good organizational and administrative skills.
  • Good knowledge of Microsoft Office and basic computer systems.
  • Ability to maintain accurate records and meet reporting deadlines.
  • Good written and spoken English.
  • Ability to communicate in an additional language relevant to the resort's multicultural workforce would be an advantage.
  • Good numerical skills and attention to detail.
  • Strong interpersonal skills with the ability to deal with employees professionally and fairly.
  • Ability to maintain confidentiality and handle sensitive employee information with discretion.
  • CPR and First Aid certification or training would be an advantage.
