Job Description

We are seeking a professional, guest-focused Receptionist to provide a warm welcome to guests, manage registration and departure procedures, handle guest accounts and deliver prompt, courteous Front Office service in line with resort standards.

The successful candidate will support the Front Office team in ensuring smooth guest arrivals, stays and departures while providing accurate information and assistance throughout the guest journey.

Key Responsibilities

  • Greet and welcome guests in a friendly, professional and courteous manner.
  • Complete guest registration and check-in procedures accurately using the resort’s computer system.
  • Confirm guest details, room arrangements and special requirements.
  • Provide welcome materials, room keys, all-inclusive information, coupons and other arrival documentation as required.
  • Coordinate with Housekeeping, Food & Beverage and other departments to ensure guest requirements are properly arranged.
  • Promote room upgrades, meal upgrades and other resort programs and services.
  • Provide accurate information on outlet hours, excursions, resort facilities and other guest services.
  • Handle cash, vouchers, traveler’s checks and other approved forms of payment.
  • Balance assigned house bank and accurately process guest charges and account postings.
  • Perform foreign currency exchange in accordance with approved rates and procedures.
  • Answer telephone calls promptly and professionally and relay messages accurately to guests.
  • Handle guest mail, small packages, faxes and other correspondence.
  • Coordinate and communicate guest arrival and departure information with Tour Guides, Guest Transport and Airport Representatives.
  • Close guest accounts at check-out and confirm guest satisfaction prior to departure.
  • Handle guest complaints and service requests professionally and assist with appropriate resolution.
  • Remain calm and effective during emergencies, high occupancy periods and operational disruptions.
  • Liaise with relevant departments regarding guest concerns such as maintenance, room issues or billing matters.
  • Maintain accurate guest records and filing systems.
  • Support PABX, billing and other Front Office functions when required.
  • Perform other duties as assigned by the Front Office Supervisor or Management.

Qualifications & Experience

  • Hotel School graduate.
  • Minimum 1 year of previous hotel reception experience.
  • Good knowledge of Front Office procedures and guest-service standards.
  • Ability to communicate effectively in English, both verbally and in writing.
  • Knowledge of French, German or another European language would be an advantage.
  • Knowledge of Opera PMS is an advantage.
  • Good computer literacy, including familiarity with PMS software, internet applications, Outlook, Excel and Word.
  • Good numerical skills with the ability to handle cash and perform calculations accurately.
  • Strong guest-relations and complaint-handling skills.
  • Ability to remain calm, professional and solution-oriented in challenging situations.
  • Ability to stand and work throughout the Front Office area for extended periods.
