Executive Assistant & Strategic Operations Lead – Russia/CIS

Viluxur Holidays is a destination-led luxury travel house operating across the GCC, Russia/CIS, China, the Maldives, and Sri Lanka. As our Russia/CIS business scales in complexity and ambition, we are looking to appoint a senior execution partner to work closely with our Regional Director.

This is not a traditional EA role.
It is a second-in-line, strategic coordination role designed to bring structure, foresight, and execution discipline to a fast-moving regional operation.

The Role

You will act as the right hand to the Regional Director – Russia/CIS, ensuring that initiatives are planned early, executed properly, and followed through with clarity and accountability.

Key Responsibilities

  • Act as execution lead assisting the Regional Director of Sales and Head of Department (aligning operations through process executions, owning hiring support, documentation, and executive materials)
  • Convert leadership direction into clear priorities, execution plans, and timelines
  • Drive cross-functional delivery across Business, Marketing, Contracting, IT, and Operations
  • Own action tracking, reporting, and follow-through to ensure accountability
  • Filter and prioritize requests, ensuring only aligned, well-prepared initiatives move forward
  • Prepare concise, decision-ready briefs and presentations for leadership forums
  • Uphold quality, brand, and delivery standards by challenging rushed or misaligned work

What This Role Is Not

  • Not a personal assistant role
  • Not calendar or inbox management only
  • Not a junior coordination position

This is a high-trust, high-impact execution role.

Ideal Profile

  • 6–10+ years experience in travel, hospitality, consulting, luxury services, or operations-heavy environments
  • Highly structured, organised, and calm under pressure
  • Strong written and verbal communication skills
  • Comfortable working with senior stakeholders
  • Naturally proactive and forward-planning
  • Confident enough to push back when timing or quality is at risk
  • Experience with international or CIS markets is a plus
