We are seeking a detail-oriented Supply Coordinator to join our procurement team in Male. The role focuses on managing supplier relationships, processing and monitoring resort orders, and maintaining accurate records using computer systems. This position does not involve logistics or customs clearance. The ideal candidate is an Indian national with strong computer skills and experience in resort supply coordination.
Key Responsibilities
1. Supplier Coordination
- Serve as the primary point of contact between the procurement office in Male’ and approved suppliers.
- Communicate daily with suppliers to confirm order acknowledgment, pricing, and delivery timelines.
- Maintain an updated supplier database with contact details, product catalogs, and price lists.
- Assist in sourcing new suppliers as required and obtaining competitive quotations.
2. Order Processing & Monitoring
- Receive purchase requisitions (PRs) from resort properties via email or procurement software.
- Convert PRs into accurate purchase orders (POs) and issue them to respective suppliers.
- Track all open orders and maintain a status report to ensure timely delivery to the Male’s consolidation point.
- Follow up with suppliers on pending deliveries, short shipments, or discrepancies.
- Coordinate with resort accounts teams to resolve invoicing or pricing mismatches.
3. Computer-Based Administration
- Maintain accurate and organized records of all purchase orders and supplier communications.
- Prepare daily, weekly, and monthly reports on order status, supplier performance, and outstanding items for management review.
- Update system records with pricing changes, product codes, and supplier information.
4. Communication with Resorts
- Liaise with resort storekeepers and department heads to confirm order details and provide updates on delivery timelines.
- Escalate any critical shortages or delays to the Procurement Manager promptly.
Qualifications & Requirements
Nationality: Indian national (preferred)
Experience: Minimum 2–3 years of experience in supply coordination, procurement support, or a similar role, preferably within the Maldivian hospitality or resort industry.
Computer Skills:
Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP, data organization)
- Comfortable with daily data entry, email correspondence, and digital reporting
Knowledge: Familiarity with resort purchasing processes and supplier management in Male’s an advantage.
Communication: Excellent written and verbal **English** skills. Ability to communicate clearly with suppliers and resort teams.
Work Location: Willing to work full-time from the Male’s office.
